Answer

In Lightning Payroll, we offer annual subscriptions. When your subscription expires, the app goes into 'read-only' mode. This means:

  • Data access remains available: You can still view and collate all your reports and payslips, as well as view any existing records.
  • No new data can be added: You won't be able to edit or enter new data, including payroll information or employee details.
  • Single Touch Payroll remains available: You can still submit Single Touch Payroll and access the STP Mailbox until your existing machine credential expires.
  • Prompt for renewal: Each time you open Lightning Payroll after your subscription has expired, the Licence Assistant window will appear, prompting you to renew your subscription.

If you choose not to renew immediately, you can close the Licence Assistant window and continue using Lightning Payroll in read-only mode. Your existing data will remain safe and accessible until you renew your subscription. Please note that maintaining a copy of the database is your responsibility, and financial records need to be kept for at least 7 years, as per the ATO. For this reason, it is a good idea to create a copy of the backup to be stored securely online somewhere, or on more than one local storage device. This way, if something happens to the computer Lightning Payroll is being stored on, you will still have access to a copy of the database, which we can help you restore, if required. Backups can be created by going to Tools >> Create Backup in the program before license expiry.

How Can I Cancel My Subscription?

To cancel your subscription, you simply do not renew it. However, if you have set up auto-renewals, you may need to disable them. For information on how to disable auto-renewals, please click here.

Web and Mobile Versions of Lightning Payroll

Please note, the web and mobile versions of Lightning Payroll only allow for paid subscriptions. These versions do not have a read-only mode. Only the desktop version of Lightning Payroll offers read-only mode after subscription expiry.
