Answer
The Employee Report Builder lets you pick any combination of columns and export them to CSV. This article lists every available column and explains exactly what each one contains. You will find it under Reports >> Employee Report Builder.
How the Employee Report Builder sources its values
The report produces one row per employee who was paid in the date range you set at the top of the screen, counting only completed pays. The columns fall into three kinds:
- Detail columns (name, address, tax setup, bank details, and so on) read the employee's current saved details, exactly as they are in the employee record now.
- Total columns add up the matching amount across every completed pay in your date range, plus any year-to-date adjustments entered in that range.
- Leave-balance columns read the employee's most recent completed pay in the range.
Please note: column labels that mention Holiday or Sick leave follow whatever you have named those leave types for your company (for example "Annual" and "Personal"). Columns marked (AU) only appear in Australian companies and columns marked (NZ) only appear in New Zealand companies; all other columns appear in both.
Personal and employment details
- Title: the employee's title (Mr, Mrs, etc.).
- Gender: the employee's gender.
- Tax Treatment Code (AU): the employee's STP Phase 2 tax treatment code.
- Employment Tenure: the employee's tenure (for example permanent, fixed term).
- Employment Type: the employee's type (for example full-time, part-time, casual).
- Position: the employee's position or job title.
- Award: the award assigned to the employee.
- Classification: the employee's award classification.
- First Name, Middle Name, Last Name, Number: the employee's name fields and payroll number.
- Tax File Number (AU): the employee's TFN.
- IRD Number (NZ): the employee's IRD number.
- NZ Tax Code (NZ): the employee's tax code. A student-loan suffix is added where the code allows one and the employee has a student loan.
- Student Loan? (NZ): whether the employee has a student loan.
- Date Of Birth, Start Date, Termination Date: the matching dates on the employee.
Contact details
- Address 1, Address 2, City, State, Postcode: the employee's address fields.
- Home Ph., Mobile Ph., Medical Ph.: the employee's phone numbers.
- Email Primary, Email Alt.: the employee's primary and alternative email addresses.
Next of kin
- Kin Name, Kin Relationship, Kin Address 1, Kin Address 2, Kin City, Kin State, Kin Postcode, Kin Phone Home, Kin Phone Work, Kin Phone Mobile, Kin Notes: the next-of-kin fields saved on the employee.
Portal and income stream
- Online Portal Active?: Yes or No, from whether the employee's online portal is active.
- Online Portal Username: the employee's portal username.
- Income Stream: the employee's STP income stream type.
- Income Stream Country Code: the country code recorded against that income stream.
Tax setup
- Employee ABN (AU): the employee's ABN (for ABN-only payees).
- TFN Declaration Signed Date (AU): the date the employee signed their TFN declaration.
- STP Employement Status (AU): the employee's STP employment status, shown as its descriptive label.
- Tax Free Threshold? (AU): whether the employee has claimed the tax-free threshold.
- Eligible Leave Loading? (AU): whether the employee is eligible for leave loading.
- Leave Loading % (AU): the employee's leave-loading percentage.
- STSL/HELP Liability? (AU): whether the employee has a study and training support loan liability.
- Medicare Exemption (AU): the employee's Medicare levy exemption setting.
- Has Spouse? (AU): whether the employee has a spouse recorded.
- Num Dependants (AU): the employee's number of dependent children.
- Has Upwards Variation?, Upwards Variation Rate, Upwards Variation Amount, Upwards Variation Gross Rate (AU): the employee's upward tax-variation settings.
- Has Voluntary Rate?, Voluntary Rate (AU): the employee's voluntary-tax-rate settings.
Superannuation setup
- Super Rate (AU): the employee's super rate.
- Super Threshold (AU): the employee's super amount threshold.
- Super Enabled? (AU): whether super is enabled for the employee.
- Super Age Threshold? and Super Amount Threshold? (AU): whether the employee's super amount-threshold rule is enabled.
- Super Based On (AU): what the employee's super is calculated on.
- Super Provider (AU): the name of the super provider on the employee's default fund.
- Super Account Number (AU): the member number on the employee's default fund.
- Super Fund Phone (AU): the phone number of that fund's provider.
KiwiSaver setup
- KiwiSaver Employee Rate (NZ): the employee's KiwiSaver contribution rate.
- KiwiSaver Employer Rate (NZ): the employer KiwiSaver rate for the employee.
- ESCT Rate (NZ): the employee's ESCT rate.
- KiwiSaver Status Code (NZ): the employee's KiwiSaver status code.
- KiwiSaver Existing Action (NZ): the employee's existing-member KiwiSaver action.
- KiwiSaver CEC Obligation (NZ): the employee's compulsory employer contribution obligation.
Pay and bank setup
The Gross figures here come from the employee's setup, not from actual pays. Use the year-to-date totals further down for what was actually paid.
- Pay Method: the employee's pay method.
- Pay Type: the employee's pay type (for example hourly or salary).
- Pay Period: the employee's pay period.
- Pay Rate: the employee's stored hourly pay rate.
- Gross: an estimate of one pay period's gross, worked out as the hourly rate times the standard weekly award hours times the number of weeks in the pay period. It reflects the employee's setup, not actual earnings.
- Gross (Annual): an estimate of a year's gross, worked out as the hourly rate times the standard weekly award hours times 52.
- Award Hours Day, Award Hours Week: the standard hours per day, and per week (hours per day times days per week).
- Active Employee?: whether the employee is an active pay recipient.
- Accrue Leave on Hours? (AU): whether leave accrues on hours worked.
- [Holiday] Leave per Hour (AU): the employee's holiday-leave accrual rate per hour worked.
- [Sick] Leave per Hour (AU): the employee's sick-leave accrual rate per hour worked.
- Payslip Note: the employee's default payslip note.
- Default BSB, Default Bank Acc. No., Default Bank Acc. Name: the BSB, account number and account name on the employee's default bank account.
Leave balances (from the latest pay in the range)
- [Holiday] Leave Balance Hours: the holiday balance on the employee's most recent completed pay in the range.
- [Holiday] Leave Amount: that balance multiplied by the employee's current hourly pay rate.
- [Sick] Leave Balance Hours: the sick balance on the most recent completed pay in the range.
- [Sick] Leave Amount: that balance multiplied by the employee's current hourly pay rate.
- LSL Balance Hours (AU): the long-service balance on the most recent completed pay in the range.
- LSL Balance Days (AU): that balance in hours divided by the employee's award hours per day.
- LSL Amount (AU): that balance multiplied by the employee's current hourly pay rate.
Year-to-date totals (across the pays in the range)
Each total below adds up the matching amount across every completed pay in your date range, plus any year-to-date adjustments entered in that range.
- Total Pays: the number of completed pays counted.
- Total Gross: gross across those pays.
- Total Tax / Total PAYE: tax withheld across those pays (labelled "Total PAYE" in New Zealand).
- Total STSL/HELP (AU): HELP withheld across those pays.
- Total Net: net (take-home) across those pays.
- Total Super (AU): the compulsory super guarantee across those pays.
- Total RESC (AU): reportable employer super contributions across those pays.
- Total Allowances: allowances across those pays.
- Total Deduction: deductions across those pays.
- Total Sacrifices: salary sacrifices across those pays.
- Total Hours Earnings: hours-and-rates earnings across those pays.
- Total Bonus/Comm./Misc.: bonuses, commissions and miscellaneous earnings across those pays.
- Total Leave: paid leave across those pays.
- Total Leave Loading: leave loading across those pays.
- Total Back Payments: back payments across those pays.
- Total Post Tax Super (AU): post-tax super across those pays.
- Total Student Loan (NZ): student-loan deductions across those pays.
- Total KiwiSaver Employee, Total KiwiSaver Employer, Total KiwiSaver ESCT (NZ): the matching KiwiSaver amounts across those pays.
- Total KiwiSaver (NZ): employee and employer KiwiSaver across those pays, added together.
A note on grouping by department
When you tick Group by department, Lightning Payroll splits each total column across the employee's departments using their department percentages, so an employee can appear under more than one department, each showing its share of the figures.
